How it works
Start with one job. Build from there.
You do not need to set up every part of your business at once. Begin with the records you need today, then add the details that make the wider picture useful.

Start with your business.
Add the name and contact details your customers need, confirm your VAT choice and choose your document branding. You can start with invoicing and return to the fuller accounting setup later.
Keep the essentials accurate. If your VAT status is unclear, TradePot asks you to resolve it before issuing an invoice.
Prepare the next job.
Create an estimate or go straight to an invoice. Add your customer, the work, labour and materials. Saved items help with work you price regularly, and optional photos help show what is included.
An estimate can become an invoice draft, carrying the job details across for you to review.
Keep the costs as you go.
Take or choose a receipt photo, upload a PDF, or enter an expense yourself. Check the date, amount and category before saving. You can search, filter and edit the saved expense later.
Reading a receipt does not save an expense automatically. You confirm the record first.
Record payments. Review the picture.
Add payments against your invoices so your records show what has been received and what remains outstanding. When the necessary setup is complete, review the supported estimates in Tax Pot and the information behind them.
Estimated tax, recorded payments and available cash are separate figures. Missing information stays visible.
Your choice
Start without connecting HMRC.
Invoicing, estimates, expense records and payment tracking do not require an HMRC connection.
You can keep your records in TradePot and return to tax setup from Settings. Estimates depend on the details you have confirmed and the supported records you have saved.
Live HMRC filing is not available in the current private-testing version. Keeping records or viewing an estimate does not submit a return.
Already have records?
Bring a file. Check it. Add the records.
Use a supported CSV export from your current app or a prepared TradePot file. The import preview helps you match fields, compare totals and see records that need a closer look.
It is a reviewed file import. Direct transfers from another account and automatic copying of original attachments are not available.
