A few useful answers

What would you like to know?

The practical details about getting started, keeping your records and what is available today.

Getting started

How can I try TradePot?

Open the browser demo to explore sample business records without creating an account. Real-account and mobile testing are private at the moment. You can ask us about testing if you would like to get involved.

Do I have to connect HMRC?

No. You can use the core invoicing, estimate, expense and payment-recording workflows without an HMRC connection. You still need the business and VAT details required for accurate documents. You can return to the fuller setup later from Settings.

Who is TradePot being built for?

TradePot is being built around everyday work in UK trade businesses: preparing estimates, issuing invoices, keeping receipts and understanding recorded figures. Business setup includes sole-trader and company options, but supported estimates vary with your circumstances. Complete tax filing is not currently available.

Documents & records

Can I use my own logo and colours?

Yes. Your shared business branding settings apply to invoice and estimate previews, downloaded PDFs and shared documents. Set them once in your document settings. CSV exports contain data, so they do not include logos or visual layouts.

Can I turn an estimate into an invoice?

Yes. TradePot carries the estimate's customer, work and item details into an invoice draft. Review the draft, dates and any tax details before issuing it.

Does scanning a receipt save an expense automatically?

No. Choose a supported photo or PDF, then review the details the reader finds. Check or correct the supplier, date, total, VAT and category before saving. You can also enter an expense manually. An expense category does not, by itself, confirm that a cost is allowable for tax.

What happens to my original receipt?

When you confirm an expense in a connected account, its original receipt is uploaded to private account storage. The reading step runs in your browser. Local and demo mode save expense details but do not retain the original file. Keep your own source documents when trying the demo.

Can I move records from Xero, QuickBooks or Invoice2go?

Supported CSV exports can be imported through a review process. Match the columns, check totals and resolve highlighted records before adding them. This is not a direct account connection or a complete automatic transfer. Original attachments need to be retained separately.

Can I share records with my accountant?

The Export Centre provides supported records as CSV files. You can download these and share them with your accountant alongside the original evidence they need. Invoice and estimate PDFs are available separately.

Tax & money

What does Tax Pot tell me?

Tax Pot shows a supported estimate based on saved records and confirmed setup. It separates recorded profit, tax deductions or payments already recorded, and extra tax to set aside. Missing or unsupported details need review. A potential repayment is not a confirmed HMRC refund or money available to spend.

Does TradePot submit tax returns?

Live HMRC filing is not available. Keeping records, viewing Tax Pot or completing setup does not submit a VAT return, an Income Tax update or an annual return. We will make the supported filing services clear when they are available.

Are VAT and CIS supported?

TradePot includes VAT and CIS settings, document details and supported calculations based on the business and transaction. You need to confirm the relevant details. Recording a CIS deduction is separate from filing a contractor return or claiming a repayment.

Does TradePot collect payments or hold my money?

No. You record customer payments against your invoices. TradePot does not hold or move your money, and recorded payment status is not an automatic bank confirmation.

Availability & pricing

Is TradePot on the App Store or Google Play?

The iPhone app is in private TestFlight testing and Android preparation is under way. TradePot is not publicly listed in either app store. The browser demo is available to explore now.

How much does TradePot cost?

Paid subscriptions are not available during the current private-testing stage. Final pricing and what it includes will be explained before a paid plan is offered. No payment is taken by the demo.

Where can I ask something else?

Use the contact page or email help@trade-pot.com. A short description of what you are trying to do helps us give you a useful answer. Please do not send passwords or sensitive tax details.
